Migrating House Accounts

We’re excited for you to start using the new and improved House accounts module! It will create a better experience for you, your staff and your customers by unifying the experience across Lightspeed Golf, Lightspeed Retail (R-Series), and Lightspeed Restaurant.

Please notify us in advance if your workflow includes a Loyalty program, as we can coordinate further configuration requirements.

About the new house accounts

Here is everything you need to know about House Accounts 2.0:

  • Moves house account creation into Lightspeed Golf.
  • Consolidates bills and charges for your customers.
  • Simplifies workflows for your staff.
  • Updates balances in real time.

House account balance migration

As part of the migration to the new House Accounts, we will:

  1. Create two new payment methods: House Account Charge and House Account Payment
  2. Create a dedicated SKU to transfer balances: ​Golf House Account Migration
    • The total sales attributed to this SKU will equal your AR balance as of the day before migration.

Customers created outside of Lightspeed Golf require a manual migration. To ensure your data remains consistent, add customers to Lightspeed Golf exactly as they appear in Lightspeed Retail by following these steps:

  1. Copy the First name, Last name, Phone number, and Email from Lightspeed Retail.
  2. Paste the information into Lightspeed Golf while adding the new customer.
  3. Verify that the ID in Golf matches the ID in the Retail URL.
  4. Adjust the customer's balance using the Golf House Account Migration SKU, as necessary.

Both new payment types - House Account Charge and House Account Payment - and the Golf House Account Migration SKU will require mapping post-migration in your accounting integration(s).

What to expect after migration

After your house accounts have been migrated, you can expect the following changes:

  • House account payments: All payments and charges related to house accounts will be managed through the Sales screen in retail.
  • Event deposits: Event deposits can only be processed in Lightspeed Golf or Lightspeed Retail (R-Series).
  • Payment links: Payment links will no longer be accessible. Payments can still be processed from a member's dashboard or by attaching a credit card to their customer profile.
  • Aging report: The aging report will reset post-migration. We can share a copy of this report pre-migration if requested.
  • Loyalty Points and Metolius: The Golf House Account Migration SKU must be excluded from both the loyalty program and the Metolius dashboard because it will appear as a sale post migration.
