Managing scheduling services

Services are the core offerings of your business, encompassing activities like golf lessons and simulator bookings. You can define service details, assign employees and service areas, set pricing, and manage availability, ensuring your customers have a seamless booking experience.

Scheduling services can be managed by clicking view all in the services module from the Booking manager. Then, click Add service or the edit button for an existing service.

Adjusting general service information

Prices and Taxes are best managed after assigning resources to your service.

The Name and Description fields help your customers understand which services they are booking. Descriptions are displayed online when customers are creating reservations.

The Bookable toggle adjusts if the service can be booked. The Booking channel options allow you to set if a service is bookable only in person, or in person and online by your customers. 

Assigning resources to services

Resources such as Durations, Employees, and Service areas can be assigned to your services so that they are organized. You can also set prices based on a combination of these resources with advanced price sheets.

Managing service durations

Durations can be added to services in 15-minute intervals to represent the length(s) of time that you offer your service.

  1. Click + to open the Add duration window.

  2. Select how long you offer the service using the Hours and Minutes drop-down lists.
  3. Click Add another duration to add more durations to the service, if necessary.
  4. Click Add once done, to see them included with the service.

Click X next to added durations to remove them from the service.

Assigning employees to services

Employees can be assigned to services to keep track of which staff is performing or monitoring the assigned service. 

  1. Click + to open the Select employees window.
  2. Select which employees should be assigned to the service, and click Select.

Click X next to the assigned employees to unassign them from the service.

Assigning service areas

Service areas can be assigned to services to keep track of where the service is taking place within your business.

  1. Click + to open the Select service areas window.
  2. Select which service areas should be assigned to the service, and click Select.

Click X next to the assigned service areas to unassign them from the service.

Assigning prices and taxes

Prices and taxes can be assigned after adding any applicable durations, employees, and service areas to your service.

Resources that are added to a service will appear under the advanced price sheet. Using an advanced price sheet allows you to set more detailed prices according to which resources are assigned to the service

This allows you to set unique prices according to which duration, employee, and service area the customer is looking to reserve. For example, lessons may cost a different amount according to which staff member is teaching them, and for how long.

Set a tax rate by selecting one from the Tax rate dropdown list. The rates that appear match those that are in Settings > Taxes.

Managing service availability

Services can have custom hours of availability, or you can match them to your business hours.

Select Same as business hours from the dropdown list if you want a service’s availability to match the default hours and one-time changes set for your business hours.

Setting custom hours

You can set specific availabilities for services by setting custom hours. This ensures that the service is only available for booking during the defined times.

  1. Select Custom hours from the dropdown list.
  2. Use the toggles to include or exclude each day of the week from being available.
  3. Set start and end times using the dropdown list, per available day.  
  4. Click Add time slot to set multiple start and end times per day, if necessary. Multiple time slots can be useful for split shifts or variable availability within a day.
    • Added time slots can be removed using the trash button.
  5. Click Save.

Using one-time changes

You can manage availability exceptions with One-time changes, ideal for marking periods when a service’s availability differs from its custom hours. This could include public holidays, special events, or other unique availability adjustments.

  1. Select One-time changes.
  2. Click the + button.
    • A window will appear showing the service’s future availability, based on its Custom hours.

  3. Use the calendar to navigate to the dates you want to adjust.

  4. Changes made that differ from the service’s Custom hours will appear in the One-time changes list.
  5. Click Confirm.
  6. Click Save.

One-time changes will appear in the list once created and can be Removed if necessary.

Using the Calendar view

You can use the Calendar view as an easy way to review that a service’s availability has been set up properly.
