The employees module within scheduling allows you to manage employee's availabilities. You can also review which services are assigned to them, and if they are bookable online and in person.
Create employee profiles from Settings > Employees for them to appear in scheduling.
Scheduling employees can be managed by clicking view all in the Employees module from the Booking manager. Then, click the edit button for an employee profile.
Adjusting profile information
Employee profiles in scheduling will display the Name and Work email saved in Settings > Employees. To update employee profiles in scheduling, adjust their information from your settings.
The Bookable toggle adjusts if the employee is available for bookings, both online and in person.
Reviewing assigned services
You can view and remove the services assigned to employee profiles. Click on the service name to open its settings, or click the X to unassign the employee from it.
Managing employee availability
Employees can have custom hours of availability, or you can match them to your business hours.
Select Same as business hours from the dropdown list if you want an employee's availability to match the default hours and one-time changes set for your business hours.
Setting custom hours
You can set specific availabilities for employees by setting custom hours. This ensures that employees are not included in scheduling reservations when they are unavailable.
- Select Custom hours from the dropdown list.
- Use the toggles to include or exclude each day of the week from being available.
- Set start and end times using the dropdown list, per available day.
- Click Add time slot to set multiple start and end times per day, if necessary.
- Added time slots can be removed using the trash button.
- Click Save.
Using one-time changes
You can manage availability exceptions with One-time changes, ideal for marking periods when an employee's availability differs from their custom hours. This could include time off, or additional shifts, for example.
- Select One-time changes.
- Click the + button.
- A window will appear showing the employee's future availability, based on their Custom hours.
- Use the calendar to navigate to the dates you want to adjust.
- Changes made that differ from the employee's Custom hours will appear in the One-time changes list.
- Click Confirm.
- Click Save.
One-time changes will appear in the list once created and can be Removed if necessary.
Using the Calendar view
You can use the Calendar view as an easy way to review that an employee's availability has been setup properly.
