You can add staff, track their invitation status, and manage credential resets from the Settings > Employees in Lightspeed Golf.
Lightspeed Golf uses email invitations for employee profiles. This ensures that new employees set their own passwords and that every profile is tied to a valid email address. Exisiting employee profiles are left unchanged.
Usernames must be unique to every profile, but the same Email address can be used for multiple employee accounts.
Adding a new employee
When you add a new employee, the system sends them an email invitation to set up their password. If you prefer to set their password, enter your own email address and advise them of their username and password.
- Log in as an Owner or Manager.
- Go to Settings > Employees.

Select Add Employee.
- Enter the employee's First Name, Last Name, and Email.
- Enter a unique Username.
- Select the appropriate Role.

Select Save and send Invite.
Understanding employee statuses
Employee profiles display a status to help you track where your staff members are in the setup process.
- Active: The employee has successfully accepted their invitation, set their password, and can log in to the system.
- Invitation sent: An email invitation has been sent to the employee, but they have not yet set their password. They cannot log in until this step is completed.
- Created: The profile had its password manually created for them.
Resetting an employee's password
If an employee forgets their password, you can trigger a password reset email directly. Employees with the Created status have not had their email verified yet, and will not be able to have their password reset until saving and confirming the email address in their profile.
Passwords must be unique and difficult to guess.
- Go to Settings > Employees.
- Select the Active employee profile from the list.
- Click Send password reset email.
If an employee loses access to their email account and cannot receive the password reset email, you must delete their employee profile and create a new one. This ensures that only the rightful owner of the email address can access the system.
Adding employee POS ID numbers
You can adjust employee profile POS ID numbers to ensure that employee profiles are aligned properly between Lightspeed Golf and Lightspeed Retail (R-Series). Owners can do this by adding the employee profile number from Retail to the POS Account ID field in Golf.
Complete this step for every employee profile to ensure they are connected properly between Golf and Retail.
- Ensure the employee's profile is already created in both Lightspeed Golf and Lightspeed Retail.
- Go to the employee's profile in Retail.

Note the number that appears in the website URL.
- Go to the same employee's profile in Golf.

Enter the number from step 3 into the POS Account ID field.
- Click Save changes.
