This article explains how to check your connection status, process payments while offline, use alternative workflows, and reconcile activity after connectivity returns to keep your operation moving.
Checking your connection status
Before reviewing complex network setups or devices, check these basic parameters to isolate the disconnection.
- Before checking your network or devices, review the status page to see if the disconnection is part of a broader known service incident.
- Visit the Lightspeed status page.
- Review the current status of Golf, Retail, Restaurant, Payments, and any related services.
- Select Subscribe to Updates and choose your preferred real-time notification method (email, SMS).
- Determine if the disconnection is affecting a single device or your entire operation.
- Test the connection on a different workstation, iPad, or mobile device.
- If only one device is affected, restart that specific hardware or payment terminal.
-
If multiple devices are affected but the Lightspeed status page shows all systems are operational, the disconnection may originate from your local internet connection.
- Check the modem, router, cables, and power connections.
- Check your internet service provider for a local service event.
- Restart network equipment when it is safe to do so.
Lightspeed Golf relies on a stable internet connection. If the pro shop computers cannot connect to the internet, a secondary connection such as a mobile hotspot or another Wi-Fi network may help restore access.
Processing payments without network connectivity
If you have checked your connection but cannot immediately restore network access, use these alternative workflows to continue accepting payments.
-
If Lightspeed Retail is inaccessible but your payment terminal has power and an internet connection, you can process payments using standalone mode.
Standalone mode must be enabled for the relevant payment terminal before a loss of connectivity occurs.
- Record the reservation, customer, amount, and payment time using your club's approved temporary process.
- Process the payment through the terminal's standalone workflow.
- Keep the customer's receipt or transaction reference.
- When connectivity returns, record the transaction in Retail using the correct payment type.
- If your physical payment terminals lack a connection but Lightspeed Golf is working, you can use Card Not Present (CNP) processing.
- Open the reservation on the tee sheet.
- Select Take Payment.
- Choose the option to enter card details manually or charge a card already on file.
- If Golf and Retail are temporarily unable to process credit cards directly, you can place charges on a customer's house account to be paid off later.
- Ensure the customer has an active house account (Version 2).
- Start a new sale in Retail and add the customer.
- Add the required products or charges to the sale.
- Select the House Account Charge button.
- Select Charge to account and select Finish Sale.
Alternative workflows and tips
Prepare your operation for periods without connectivity with these helpful workflows.
- If you cannot access the tee sheet, creating a custom menu button in Retail allows you to quickly add standard golf fees to a sale.
- From the main menu in Retail, go to Settings Custom Menus.
- Select the Register: Sale Tab.
- Under Add New Button, choose a type from the drop-down menu (such as Submenu or Category) and enter a title.
- Select + Add Button to Menu.
- Add common items to this menu, such as 18-hole green fees or cart rentals, for quick access while offline.
- If you anticipate network instability or simply want a hard copy backup, printing your daily tee sheet ensures you always know who is scheduled to play.
- Open your tee sheet in Lightspeed Golf.
- Select the printer icon at the top-right corner of the tee sheet and select Print Tee Sheets.
- Adjust the settings that appear in the print preview.
- Select Print, or use your browser's print function (Ctrl + P or Cmd + P).
Reconciling after connectivity returns
After connectivity or service is restored, you must reconcile any transactions taken while the system was offline.
- Confirm that Golf, Retail, Restaurant, and all payment terminals are reconnected.
- Review payment and sales reports for offline, standalone, pending, declined, or manually recorded transactions.
- Enter any approved offline payments in Retail using the correct mapped payment type.
- Update affected reservations on the tee sheet to show the correct payment and arrival status.
If you used temporary workflows like custom menu buttons or standalone payments, your standard reporting may contain discrepancies. Connect with Lightspeed Support, your Account Manager, or a Product Adoption Specialist (PAS) to understand how to properly manage and review your reporting.
