Managing scheduling reservations

Scheduling reservations can be created by employees for your customers, or by your customers directly.

Creating reservations for customers

Reservations can be created by your employees from the Scheduling calendar. Customer profiles are added to your database automatically when created for a scheduling reservation.

Reservation information may be auto-filled according to which column you click when creating a reservation, but can be adjusted. For example, clicking into a column for a Simulator Bay will include that as the service area for the reservation. Unavailable resources will be indicated with grey time intervals.

  1. Set the calendar to the intended day.
  2. Click on the calendar to select the reservation start time.

  3. Select the service, duration, employee, and service area from the drop-down lists.
  4. Scroll down, and search for a customer profile to attach to the reservation.
    • You can search by name, email, or phone number.
    • You can add a customer profile to your customer list if they do not appear.
  5. Click Next.

  6. Include a private note for employees if necessary.
  7. Click Reserve.

Creating reservations as a customer

Direct your customers to your dedicated booking site, which can be found from Booking Manager > Business hours and settings > Booking site URL, so they can follow the steps below to create a reservation.

Only services that are enabled to accept online bookings can be reserved by customers directly.

  1. Select the service to reserve, then click Next.

  2. Select the club staff in charge of the chosen service, if applicable, then click Next.

  3. Select an available date in the next 14 days, then click Next.

  4. Select an available time, then click Next, or Log in if you are not yet logged in to your account.

  5. Review the reservation information, and click Submit.

  6. The customer will be shown a completed reservation page, and the reservation will appear on your scheduling calendar.

Processing scheduling reservation payments

You can process payments for scheduling reservation fees by pushing them directly to Lightspeed Retail (R-Series). This allows scheduling reservation fees to be paid for by cash, card, check, or by charging a house account.  

Open a reservation, and click Take Payment to push the transaction through to the register. Then, process payment through the intended payment method, and finalize the sale.

The reservation will be marked as paid after the sale has been finalized, and clicking the transaction ID number will bring up the finalized sale in Lightspeed Retail.

Editing reservations

You can adjust information for a reservation by selecting it from your calendar. Past reservations can not be adjusted besides being marked as paid or unpaid.

  • Private notes can be reviewed or updated.
  • Reservations can be marked as paid, or unpaid.
    • This does not process a payment or refund.
  • Click the pencil edit button to adjust reservation information.
    • Service duration, employee, service area, and customer can be updated.
  • A reservation can be canceled using the garbage can button.
    • This can not be undone, and a refund will not be processed.
    • A cancel notification email will be sent to the attached customer.
