Adjusting employee roles and permissions

Lightspeed Golf has four employee roles with differing permissions to modules: Owner, Manager, Assistant, or Booking Agent. Assigning the proper role is crucial to ensuring that their system permissions match their responsibilities.

On one hand, it is important for decision-makers and those that are well-versed in Lightspeed Golf to have access to the entire platform through the owner or manager roles. This allows them to react quickly to any operations issues and focus on providing excellent customer service. These roles may be more suited for pro-shop staff and club managers, or head pros.

On the other, employees with more limited responsibilities are often not as familiar with the software, and only need the core functionality offered by the assistant or booking agent role. Part-timers, starters, and similar types of employees may not need to worry about features and settings other than the tee sheet, for example.

Employee roles

The modules included for each employee role are shown here and are explained in more detail below.

  • Owner - Unrestricted access to all modules
  • Booking agents can only access the Tee Sheet.
    In it, they are able to create, move, recur, and modify reservations. This includes entering credit card information, processing charges, deleting bookings, and marking players as arrived, no-show or rain checked. They can also edit player types, and apply packages or coupons to reservations.
    Booking agent modules

  • Assistants have the same capabilities as Booking Agents, but also have access to three other modules. This includes Customers, Tour Operators, and Promotions.
    This allows them to access the customer base and adjust customer profiles. This includes the ability to manage customer profiles, house accounts, family accounts, and tour operators and to process charges to credit cards on file.
    They are also able to generate promo codes, sell and track packages and their usage, and create and manage online deals.
    Assistant modules

  • Managers have the same capabilities as Assistants and Booking Agents, while also being able to access all of the other modules. This includes Tee Times & Pricing, Dynamic Pricing, Events, Reports, Business Intelligence, Radar, Add-Ons, and Settings. Managers can create, add, or delete tee times. They can also control price sheets and their assignment to specific date ranges. Within price sheets, managers can configure price rules for green fees and cart fees and adjust time restrictions. Also, they can create and edit tournaments and events.
    Managers have access to the reporting section for data on Business Intelligence, Statistics, Customers, and Reservations. They can also access the Radar, in which Lightspeed Golf automatically alerts you on key events needing your review such as expiring or failed subscription payments.
    Additionally, managers can adjust settings for the golf club, the course, player types, product types, package types, sales taxes, membership and service products, online bookings, the tee sheet, house accounts, TV mode, custom fields, and integrations.
    Finally, managers are able to send email and SMS notifications from the tee sheet.
    Manager modules

  • Owners have unrestricted access to the entire platform.
    Owners have the capabilities of all other employee roles, while also being able to create and edit employee profiles. Owners are also shown the onboarding module if it is enabled.

Employee permissions

These settings can be adjusted per employee role by Owners and Managers. These settings can be adjusted to allow or disallow certain permissions, per employee role. The permissions are detailed below.Employee permissions

Can override player types privileges on the tee sheet

Allows the employee role to make changes to reservations that will overwrite booking restrictions set in the assigned price sheet

Can sell subscriptions to customers

Allows the employee role to sell subscriptions to customer profiles, following the steps detailed in this article.

Can sell packages to customers

Allows the employee role to sell packages to customer profiles, following the steps detailed in this article.

Can mark products in reservations as paid/unpaid

Allows the employee role to mark products in reservations as Paid or Unpaid accordingly. More information can be found in this article.

Can adjust the tee sheet
